Walk-in waitlist and booking app for massage and spas

Walk-ins welcome, with no one waiting standing up.

Guests join from the door code or the front-desk tablet, pick a chair massage, a 60-minute deep tissue or a foot reflexology session and the therapist they like, and fill out the health check on their phone. Booked sessions sit beside the line, with time to reset the room built in.

A Saturday at the spa, and walk-ins are waiting for a free therapist, with nowhere calm to wait. Everyone wants to know how long, and the front desk is stretched thin.

Customers scan a code at the door and join your line from their own phone. No app to download, and no account to make. They can enjoy a coffee, and come back when it's their turn.

The TV in your lobby shows who's up next, and an honest wait, so nobody has to ask how much longer.

Sage calls the next guest with a tap, starts the session, and finishes up, so the lobby stays peaceful.

Start with a list of services made for massage spas, and NextUp Walk-in uses their times to keep every wait honest.

Insights show your busiest days and hours, your average wait, and how many guests you served, so you know when to put another therapist on the schedule.

At our demo spa, Sage's next guest is already on the way, and the lobby stays quiet. Yours can run the same way.

Try our live demo line at nextupwalkin.com/demo, and start your fourteen-day free trial.

Sage, the NextUp Walk-in guide for massage & spas
SageA walk-in day, from the treatment room.Illustrated character
  • Walk-ins with nowhere to wait in a small, quiet lobby.

  • "How long for a 60?" with no honest answer.

  • Intake on a clipboard, and pregnancy or injuries missed.

  • No time to reset between back-to-back bookings.

  • One great therapist everybody asks for.

How NextUp Walk-in helps

What changes once the line lives on a phone, not on paper.

1

Relax elsewhere

Guests hold their place from their phone and shop or grab a coffee. Their phone shows when to come back.

2

Pick a therapist

Guests can ask for a therapist by name and see that therapist’s own wait, or take the next one free.

3

Sessions that set the wait

A 15-minute chair massage and a 60-minute deep tissue each count for their own time in the estimate.

How NextUp Walk-in runs your spa

Every feature here is in NextUp Walk-in today. The ones marked Pro come with NextUp Walk-in Pro; the rest are on every paid plan. Compare plans.

The line

Every plan
  • Join and wait elsewhere. Guests join from the door code or the tablet in kiosk mode and see their place on their phone.
  • Pick the session: chair massage (15 min), Swedish, deep tissue or hot stone, 30- or 60-minute reflexology, express facial, with aromatherapy, hot towels and scalp massage add-ons. Each counts for its own time.
  • A therapist or "Anyone", with each therapist's wait, and routing to therapists who do that service.
  • Calm screens: your colors and logo on the Check-in Page, tablet and TV.

The health check, before the table

  • Massage health check from the starter (pregnancy, injuries or surgery, blood pressure, blood thinners or skin conditions, preferred pressure), signed on the guest's phone before they join. Ask once, every visit or once a year. Your therapist sees it on the profile.

Booked sessions

Pro
  • Online booking with a cleanup buffer after each service, so a 60-minute massage holds 70 minutes.
  • Rooms and equipment. Add your massage rooms, or a tanning bed, and tell a service it needs one. Online booking only offers a time when a room is free as well as a therapist, for the whole session.
  • 30, 60 or 90 minutes of the same massage. A service can have a length option, each with its own price and minutes, picked when the guest joins or books.
  • Deposits or a card on file, a refund cutoff and no-show fees.
  • Couples and friends: one guest books for up to 4 others at the same time.
  • Standing weekly or monthly sessions, and "tell me if a time opens".

Bring them back

  • Memberships (Pro): a monthly massage with a member discount on extras.
  • Packages (Pro): "5 deep tissue sessions" prepaid.
  • Gift cards (Pro) for holidays and Mother's Day, and email campaigns with spa templates (Pro) to guests who opted in.
  • Rebooking reminder emails and ratings with your Google review link.

Checkout and team (not another POS)

Cash, a pay link or QR, a saved card or a Stripe S700 reader, tips to each therapist, oils and lotions as products. Commission, booth or suite rent, tip pools and payroll files (Pro). NextUp Walk-in's card fee is 0.5% of card payments, never on tips, at most $1 a payment, on top of Stripe's processing fee.

Front desk next to your charting tool

NextUp Walk-in keeps the intake, the line, the rooms and the payment. Clinical notes, SOAP charting, body charts and insurance claims are not built, so keep those in your charting tool.

  • Pressure and injuries on the profile. The health check answers, including preferred pressure, are filed on the client before the table, and the therapist reads them there.
  • "Last time" note and photos (Pro). A note per visit (focus areas, what she liked) shown on the staff screen when you call her. Photos are optional and only after the client taps to say they are okay.
  • Book the next session before she leaves (Pro). "Book their next visit" opens up to 3 open times near her own rhythm, and Overdue regulars lists clients past their usual gap.
  • A recall list (Pro). Clients who have not been in for 30, 60 or 90 days, with nothing booked, and a one-tap note to bring them back.
  • A light plan of care. For a series of sessions, set the visits planned, the start date and a re-check date. The profile shows "3 of 6 visits used", and the recall list shows the plan and flags a re-check that is past due. No diagnoses and no clinical notes.
  • An itemized statement for the client. A printable list of dates, services, therapist, price and paid, with your address. It is an itemized receipt, not an insurance claim, and carries no diagnosis or procedure codes. The receipt says to ask the plan whether it qualifies for HSA/FSA reimbursement.
  • Return in N weeks. Give a service a rebook interval, and the receipt reads "Return in about 4 weeks" and the Rebook suggestion follows it.
  • Aftercare by email. Write the aftercare on a service, and it is emailed an hour after the session, to an address the guest gave.

Smarter waits

Every plan
  • Best time to come today. The Check-in Page shows the lowest expected wait by quarter-hour for the rest of today, from the same weekday over the last 8 weeks and the live line, so someone with time to spare comes when it is quietest.
  • Each therapist's own wait. When guests choose who serves them, the Check-in Page shows every therapist's wait next to their name, plus "First available". Once called, they see a range ("called in about 15–25 min") worked out from each person's real service times.
  • "Tell me when the wait is shorter." When the wait is over 10 minutes, a customer can ask to be told when it drops, by email.
  • Family tickets. Two friends booking a couples visit check in once. Each gets their own place, service and therapist.
  • Overflow between locations. If another of your locations nearby has a much shorter wait for the same services, the join page offers a move there and keeps the customer’s place fair. For businesses with more than one location, so on paid plans (Free is one location).
  • Seven languages for customer screens: English, Spanish, Vietnamese, Korean, Portuguese (Brazil), Haitian Creole and Simplified Chinese. The newest six are machine-drafted, and corrections are welcome.

On the floor

  • A button at each therapist's station. Every team member gets a secret link to open on a spare phone or tablet at their station. One big button finishes the current visit and calls the next guest, hands free.
  • A page for each therapist. A team member with a booking handle gets a public page with their photo, services and prices, and the live wait or booking.
  • Visit photos and "Last time" (Pro). Up to 3 photos and a note per visit, added after the guest says OK to a photo: the note on pressure, areas to avoid and products used. It shows on the Staff Screen when they are called.
  • On the TV (all opt-in): a full-screen "You’re up!" with the first name, the team member’s photo and a chime; spoken call-ups in English or Spanish; a large-text, high-contrast view; and rotating content between calls (the wait, flash sales (Pro), recent 4 and 5 star reviews, the best time to visit). The Apple TV and Roku apps show the spotlight, chime and rotating wait, sales and review cards; spoken call-ups, the large-text view and the best-time slide are on the web TV.

Bring regulars back

  • Overdue regulars (Pro). Regulars come monthly, so a guest who has missed her usual visit shows up in a list. Clients past their usual gap with nothing booked, most overdue first, one tap to reach out by email (only to those who opted in).
  • One-tap rebook (Pro). At checkout and on the Done banner, "Book their next visit" offers the 3 open times nearest the client’s own rhythm, with the same services and person.
  • Loyalty streaks and tiers (Pro) on top of stamp cards: on-schedule streaks and tiers you name, with a perk for each.
  • Client referrals (Pro, off until you switch them on). "Give a friend $5 off, get $5 store credit", paid for by you, with a yearly cap per client.
  • First-visit certificate (every plan). A printable, shareable certificate for a client’s first visit.

Licences, cleaning and insight

  • Licences and insurance for each team member, with expiry reminders: massage therapist licence, esthetician licence and cosmetology licence, and booth renter or liability insurance.
  • A cleaning log for each location, from a starter list for this trade (change linens between clients, disinfect tables and treatment surfaces, sanitize hot stones and tools), ticked off per shift and printable for an inspector.
  • Ask about your business (Pro). Plain-language questions about your own numbers, from Help, like "Which day was slowest last month?".
  • How you compare (Pro): your median wait, no-show rate, rebook rate and average ticket against other massage and spa businesses of your size, over 90 days.
  • Suggested team on duty and review themes (Pro), plus a weekly "This week, try" on every plan with up to three actions from your numbers.

Clients to call back, and where they are in a plan

The recall list shows who has been away 30, 60 or 90 days with nothing booked, and sends a one-tap note.

A Saturday with NextUp Walk-in

An example day, hour by hour, with the line on everyone's phone.

  1. 10:00

Doors open. Two shoppers join for chair massages and keep browsing.

  2. 10:30

A walk-in picks a 60-minute deep tissue with Ana. The health check flags a recent shoulder surgery, so Ana knows before she starts.

  3. 12:00

A booked couple's session: two therapists, same time.

  4. 1:10

The 10-minute buffer gives Ana time to reset the room.

  5. 2:40

Ana finishes and opens the visit note: "left shoulder, firm pressure". It will show on the staff screen next time. The Done banner offers three open times three weeks out.

  6. 4:00

A guest buys a gift card at checkout.

  7. Monday

The summary email: sessions, sales and busiest hours.

Why switch to NextUp Walk-in

  • Walk-ins and bookings in one place, from $29 a month (bookings on Pro, $59), with 3 team members included.
  • No charge per add-on. Some spa suites start at $120 a location plus $10 a user, with phone, marketing and payroll as paid add-ons (published pricing). Pro is $59 with 3 team members included.
  • From a charting tool: keep it for SOAP notes and insurance, and put NextUp Walk-in on the front desk for the walk-in line, health check, booking and payment. If you need charting or a HIPAA agreement in one app, that is not us. See the comparisons.
  • Switching: your first month free on monthly billing with the code SWITCH. Import your client list yourself in a few minutes. See the switching guides.

Massage & spas: common questions

Can guests ask for a specific therapist?

Yes. The join form lists today's therapists with photos and each one's wait, and "Anyone" comes first.

Can guests check in at a tablet at our front desk?

Yes. Kiosk mode turns any tablet into a check-in screen, and it never keeps one guest's details for the next.

Can guests fill out a health form before the session?

Yes. Start from the massage health check and make it required. It's signed on their phone before they join or book.

Can we book longer treatments and take walk-ins at the same time?

Yes, with NextUp Walk-in’s Pro plan. Bookings sit beside the walk-in line, with a cleanup buffer after each service.

Can two people book a couples massage?

Yes, with NextUp Walk-in’s Pro plan. One guest books for up to 4 others at the same time.

Can I sell gift cards and memberships?

Yes, with NextUp Walk-in’s Pro plan.

Does NextUp Walk-in schedule rooms?

Yes, on Pro. Add your massage rooms or a tanning bed, tell a service it needs one, and online booking only offers a time when one is free as well as a therapist. The walk-in line does not check rooms, and rooms do not show on the TV.

Can I give clients a receipt for HSA or FSA reimbursement?

You can print an itemized statement for a client with dates, services, therapist, price and what was paid, and your receipts say to ask the plan whether it qualifies for HSA/FSA reimbursement. It is an itemized receipt, not an insurance claim, and it has no diagnosis or procedure codes. NextUp Walk-in does not file claims.

Can I call back clients who have not been in for a while?

Yes, on Pro. The recall list shows clients who have been away 30, 60 or 90 days with nothing booked, with their plan of care if they have one, and sends a one-tap note by email.

Do you do SOAP notes or body charts?

No. NextUp Walk-in keeps the health check, a note per visit (Pro) and the client profile, but not SOAP charting or a body chart. Keep clinical notes in your charting tool.

Is NextUp Walk-in HIPAA compliant?

NextUp Walk-in is not a HIPAA business associate: it doesn't sign business associate agreements and isn't a medical record. The health check asks only what you need for a safe visit, is seen only by your team and is deleted with the client. If your business is covered by HIPAA (for example it bills insurance), keep intake and clinical notes in your charting tool and run the line, bookings and payment here.

How much does a massage waitlist app cost?

The Walk-in plan is $29 a month for your first location and $19 for each additional one, with the TV screen and the door tablet. Pro, at $59 and $39, adds appointments, deposits, memberships, commissions and payroll. Both include 3 team members per location, then $10 a month each. The 14-day free trial includes every Pro feature. A card is needed to start, but nothing is charged until the trial ends, when the plan is charged unless you cancel first. There is also a Free plan: 1 location, 1 team member and 50 check-ins a month, and no card needed.

Walk-ins welcome, calmly.

Set up your first location in about two minutes. Your line can be live before your next walk-in.
