A canceled time is offered to the line first

When an appointment is canceled soon before it starts, the first walk-in it fits gets the time. If nobody takes it, the waitlist for openings hears about it, and “anyone” bookings fill gaps.

  • Offered to the line
  • 5 minutes to take it
  • Waitlist for openings
  • Smart “anyone” bookings

The first walk-in it fits gets the time

When an appointment is canceled or marked a no-show and it starts soon, the person waiting in your line who it fits is offered the time.

  • A push or an email.“A time opened at 3:15 PM with Marcus. Take it?” goes by push, or by email if a push cannot reach them.
  • Five minutes to answer. They choose Accept or Keep my place on their spot-in-line page. If they accept, they are booked, taken off the line and sent the usual confirmation.
  • It has to fit.Their service is no longer than the freed time, and they asked for nobody in particular or for that team member, who does their service.
  • One offer at a time.If they pass or do not answer, the next person it fits gets it. If two tap Accept together, one gets it.
Example: a canceled time moving to the line.

Then the waitlist for openings

If nobody in the line takes it, or the time is further out than your window, people waiting for that day hear about it.

  • Tell me if a time opens. When a day is full, the booking page offers it. A customer picks up to 3 days and leaves a name and email.
  • Everyone hears at once. Each person whose service fits gets an email with a link to that day’s open times. Whoever books first gets the time.
  • No spam.A person is told at most once every 15 minutes, and every email has a Leave the waitlist link.
  • See who is waiting. In the Calendar’s gear menu, open Waitlist for openings to see the list and remove someone.
Example: who is waiting for an opening.

“Anyone” bookings fill the gaps

A customer who books with “anyone” goes to a free team member who does the service, and can be moved to make room.

  • The best fit.An “anyone” appointment goes to the free, qualified team member who fits best.
  • Moved to make room.If another client later asks for that person at the same time, the “anyone” booking moves to another free person who does the same service, at the same time.
  • Chosen people stay put.A booking where the client chose a person is never moved.
  • You switch it on.It is an owner switch per location, off by default, in Location settings.
Example: the switches in a location’s appointment settings.

How it works

  1. 1

    A time frees up

A customer or your team cancels, or an appointment is marked a no-show.

  2. 2

    The line is offered it

The first walk-in it fits has 5 minutes to accept.

  3. 3

    Then the waitlist

If the line passes, people waiting for that day get an email with a link to book.

  4. 4

    The calendar stays full

Whoever takes the time is booked, and the usual checks stop a double booking.

Who it’s for

  • Barbershop

A 3 PM cut cancels at 2:30. A walk-in already waiting takes it, and the chair does not sit empty.

  • Hair salon

Saturday is full. Clients on the waitlist hear about a freed color slot and the first to tap books it.

  • Massage & spa

“Anyone” bookings are placed with a free therapist who does the service, leaving the booked ones for those who asked.

The small things

  • You set the window

Choose how soon a time must start to be offered, from 30 minutes up to 6 hours. It is 2 hours by default.

  • Push and email

Offers and waitlist notices go by push and email. No texts are sent for this.

  • No double booking

The same booking checks run when someone accepts an offer, so a time cannot be booked twice.

  • For appointment businesses

Not shown for businesses that do not take appointments, such as restaurants and service counters.

Questions

Which plans have it?

Pro, like online booking. It is on by default wherever appointments are on, and you can turn it off.

Does the walk-in pay a deposit?

No. If they accept, they are booked for that time with no deposit, taken off the line and sent the usual confirmation.

What counts as an opening for the waitlist?

A booking that frees time: canceled by a customer or your team, moved to another time, or an unpaid booking let go after 30 minutes. No-shows and past times do not count.

Can “anyone” move a booking the client chose a person for?

No. Only “anyone” bookings move, and only when there is another free person who does the same service at the same time.
