Saturday at the salon, and the waiting area is full of people who walked in hoping for a chair. Every guest wants a time, and every minute at the desk is a minute away from the floor.

Customers scan a code at the door and join your line from their own phone. No app to download, and no account to make. They can run an errand, and come back when it's their turn.

The TV in your front desk shows who's up next, and an honest wait, so nobody has to ask how much longer.

Dolly calls the next guest with a tap, starts the service, and finishes up, so the desk never turns into a bottleneck.

Start with a list of services made for hair salons, and NextUp Walk-in uses their times to keep every wait honest.

Insights show your busiest days and hours, your average wait, and how many guests you served, so you know when to put another stylist on the floor.

At our demo salon, Dolly's next guest is already on the way, and the front desk stays quiet. Yours can run the same way.

Try our live demo line at nextupwalkin.com/demo, and start your fourteen-day free trial.

DollyA full-chair day, from the styling station.Illustrated character
  • One person, every job

Check-ins, the phone, questions and payments all land on the front desk at the busiest hour.

  • Waits nobody can call

A single-process color, a cut and a blowout take very different times, but walk-ins want one number.

  • Clients who drift off

Someone steps out for coffee and misses their turn, or comes back and stands at the desk asking.

  • Color history on index cards

What was mixed last time lives on index cards or in one stylist's head, and a new stylist can't find it.

  • Renters and assistants

Booth and suite rent, assistant splits and tips get sorted by hand at the end of the week.

How NextUp Walk-in helps

What changes once the line lives on a phone, not on paper.

1

Check-in in seconds

A code at the door or a link in your Instagram bio. No app required.

2

Called back at the right time

Clients watch the line on their phone and come back right when their stylist is ready.

3

Booth and suite rent, handled

Weekly or monthly rent is collected from each renter, and online tips are tracked for each stylist.

How NextUp Walk-in runs your salon

Every feature here is in NextUp Walk-in today. The ones marked Pro come with NextUp Walk-in Pro; the rest are on every paid plan. Compare plans.

Salon check-in

Every plan

Check-in is where a busy front desk loses the most time. Clients check themselves in, from the door, the desk tablet or before they leave home, and the desk only greets them.

  • Check in from the door, Instagram, Google or a tablet. No app, no account, and clients can join before they leave home.
  • Pick a stylist or "Anyone". Today's stylists show with photos and their own wait, and if a client picks services, only stylists who do those services are offered.
  • A wait that knows the service. In services mode NextUp Walk-in adds up each client's own services (cut, color, toner, blowout), uses each stylist's own times, and counts how long current visits have been going.
  • Free to step out. Their place lives on their phone. If someone's called and doesn't come up, tap "Still coming?" and they answer 2, 5 or 10 minutes.
  • Kiosk mode at the desk for clients who'd rather tap than talk. It never saves one client's details for the next.
  • The TV shows who's in the chair, who's next and the wait, in your salon's colors and fonts.

Client records

  • A color record on every client. Brand, the formula (one line per bowl), ratio, processing minutes and patch-test date, kept under Trade details and found by phone number. A new record starts from the client's older formula notes, so a new stylist can find what was mixed last time.
  • Patch tests as records. Log the service, the date and the result (negative, positive or pending). A positive one is flagged first on the staff screen when the client is called.
  • Inspiration photos with the booking. Clients can send up to 3 reference photos when they join or book, and the stylist sees them on the ticket. You can switch this off for a location.
  • Visit history and staff notes on every client, found by phone number.
  • Before and after photos (Pro). "Last time" holds up to 3 photos and a note per visit, added after the client taps to say a photo is okay, and it shows on the staff screen when you call her.
  • Import your client list from your old system (Excel, CSV, Google Sheets, Numbers or contacts, up to 50,000 clients), with formula notes, allergies, birthdays and tags mapped from your columns. Duplicates can be merged.
  • Color consent with a patch-test acknowledgment. It comes from the hair-salon starter template, is signed on the client's phone before they join or book, and is filed on their profile.
  • Retention: see how often each client comes and who hasn't been back.

Booked color and cuts

Pro
  • Online booking: service, stylist, time, with your cancellation policy shown.
  • Processing time that frees the stylist. Split a color into the active part, the processing wait and the finish. The stylist is free for another client during the wait, online times and the calendar honor it, and the chair time still counts toward your clients-at-a-time limit.
  • Options and a regular's own price. A cut or color can have tiers, like hair length, each with its own price and minutes, and you can set one client's own price or time for a service. Clients pick the option when they join or book.
  • Rooms and equipment. Tell a service it needs a color room or a wash station, and online booking only offers times when one is free.
  • Deposits or a card on file for long color appointments, with a refund cutoff you set (24 hours by default). Staff charge the no-show fee you set.
  • Reminders 24 hours and 1 hour before by email.
  • Standing appointments: weekly, every two weeks or monthly, up to 12 at once.
  • Group bookings: one client books for themselves and up to 4 guests, back-to-back or at the same time.
  • "Tell me if a time opens" on a full day. When a booking cancels, everyone waiting for that day and stylist is emailed, and the first to book gets it.
  • The calendar: a column per stylist, drag to move, blocked time, and each stylist's own "My calendar", synced to Google Calendar, or shown in Apple, Google or Outlook through a calendar link.

Checkout at the desk (not another POS)

  • Cash, a pay link or QR on the client's phone, a saved card, or a Stripe S700 reader. Tip buttons you set, and split bills.
  • Retail with stock: shampoo and styling products on the same bill, with low-stock alerts and product commission per stylist.
  • Sales tax per location, on products and on whichever services you choose.
  • Gift cards (Pro) and store credit (Pro), plus branded receipts by email, page or PDF.
  • NextUp Walk-in's card fee is 0.5% of card payments, never on tips, at most $1 a payment, on top of Stripe's processing fee.

Renters, assistants and pay

  • Booth and suite rent (Pro): weekly, every two weeks or monthly, charged to a saved card or US bank account, or taken off what you owe them.
  • Hybrid renters: a renter keeps their services less a business percentage you set.
  • Assistants: a percentage of a stylist's tips or services can go to their assistant.
  • Tips tracked for each stylist, plus commission (Pro), tip pools (Pro), recorded cash tips and payroll files (Pro) for Gusto, ADP or QuickBooks Payroll.
  • Renters can run their own memberships and punch cards in their own sign-in, and the visits they serve stamp their card, not the salon's.

Keep the chair booked

  • Rebooking reminder emails a set number of days after a visit (say 42 days after color), only to clients who ticked "Stay in the loop".
  • Overdue regulars and one-tap rebook (Pro). See who is past her usual gap with her stylist, and book her next visit from the Done banner with open times near her own rhythm.
  • "Your team recommends" (Pro). Stylists tick the products they used, the receipt lists them with "Buy for pickup next visit", and a refill reminder email goes out only when the client asks for it.
  • Email campaigns with hair-salon templates (Pro): birthdays this month, "haven't been back", regulars, new stylist.
  • Memberships and packages (Pro): a blowout club or a prepaid series, with a member discount at checkout.
  • Loyalty stamp cards (Pro) in your salon's branding.
  • Ratings after every visit, with your Google review link offered to everyone.
  • "Our work" gallery on your Check-in Page and up to 12 photos per stylist.

What it does not do yet

Salons that weigh every bowl should look hard at a dedicated color tool: scale integration and backbar product usage and cost per service. NextUp Walk-in keeps the formula as text on the color record, one line per bowl, and does not weigh or cost it. Processing-time gaps apply to booked appointments, not to the walk-in line.

Also built in

  • Lookbook: photos of your looks that customers pick from when they join, and the stylist sees the pick on the ticket. Every plan.
  • Customer screens in seven languages
  • Insights on walk-ins, waits, no-shows and busiest hours
  • stylist speed per service
  • Monday summary email
  • accountant package
  • up to 50 locations.

Smarter waits

Every plan
  • Best time to come today. The Check-in Page shows the lowest expected wait by quarter-hour for the rest of today, from the same weekday over the last 8 weeks and the live line, so someone with time to spare comes when it is quietest.
  • Each stylist's own wait. When clients choose who serves them, the Check-in Page shows every stylist's wait next to their name, plus "First available". Once called, they see a range ("called in about 15–25 min") worked out from each person's real service times.
  • "Tell me when the wait is shorter." When the wait is over 10 minutes, a customer can ask to be told when it drops, by email.
  • Family tickets. A mom and her two daughters check in once. Each gets their own place, service and stylist.
  • Overflow between locations. If another of your locations nearby has a much shorter wait for the same services, the join page offers a move there and keeps the customer’s place fair. For businesses with more than one location, so on paid plans (Free is one location).
  • Seven languages for customer screens: English, Spanish, Vietnamese, Korean, Portuguese (Brazil), Haitian Creole and Simplified Chinese. The newest six are machine-drafted, and corrections are welcome.

On the floor

  • A button at each stylist's station. Every team member gets a secret link to open on a spare phone or tablet at their station. One big button finishes the current visit and calls the next client, hands free.
  • A page for each stylist. A team member with a booking handle gets a public page with their photo, services and prices, and the live wait or booking.
  • Visit photos and "Last time" (Pro). Up to 3 photos and a note per visit, added after the client says OK to a photo: the formula, a photo of the last color and a note about what to change. It shows on the Staff Screen when they are called.
  • On the TV (all opt-in): a full-screen "You’re up!" with the first name, the team member’s photo and a chime; spoken call-ups in English or Spanish; a large-text, high-contrast view; and rotating content between calls (the wait, flash sales (Pro), recent 4 and 5 star reviews, the best time to visit). The Apple TV and Roku apps show the spotlight, chime and rotating wait, sales and review cards; spoken call-ups, the large-text view and the best-time slide are on the web TV.

Bring regulars back

  • Overdue regulars (Pro). Color and cuts come back on a rhythm, so a client overdue for a touch-up stands out. Clients past their usual gap with nothing booked, most overdue first, one tap to reach out by email (only to those who opted in).
  • One-tap rebook (Pro). At checkout and on the Done banner, "Book their next visit" offers the 3 open times nearest the client’s own rhythm, with the same services and person.
  • Loyalty streaks and tiers (Pro) on top of stamp cards: on-schedule streaks and tiers you name, with a perk for each.
  • Client referrals (Pro, off until you switch them on). "Give a friend $5 off, get $5 store credit", paid for by you, with a yearly cap per client.
  • First-visit certificate (every plan). A printable, shareable certificate for a client’s first visit.

Licences, cleaning and insight

  • Licences and insurance for each team member, with expiry reminders: cosmetology licence, barber licence and bloodborne pathogens certificate, and booth renter or liability insurance.
  • A cleaning log for each location, from a starter list for this trade (disinfect tools between clients, clean shampoo bowls and sinks, change towels and capes), ticked off per shift and printable for an inspector.
  • Ask about your business (Pro). Plain-language questions about your own numbers, from Help, like "Which day was slowest last month?".
  • How you compare (Pro): your median wait, no-show rate, rebook rate and average ticket against other hair salons of your size, over 90 days.
  • Suggested team on duty and review themes (Pro), plus a weekly "This week, try" on every plan with up to three actions from your numbers.

The color record, on the client

What was mixed last time is on her profile, with a positive patch test flagged first, so a new stylist can repeat it.

A Tuesday with NextUp Walk-in

An example day, hour by hour, with the line on everyone's phone.

  1. 9:00

Line opens on schedule. Two booked colors are on the calendar. A deposit is already paid on the 10:30.

  2. 9:40

A walk-in picks "Women's cut & style" with Hannah. The wait counts Hannah's color client still in her chair.

  3. 10:05

The walk-in goes for coffee and watches her place on her phone. Hannah's color is processing, so she takes a booked trim while it sits.

  4. 10:30

The color client checks in and the front desk taps Check In. Her color record (last formula, ratio, patch test) and signed color consent are on her profile.

  5. 12:15

Someone cancels a 3:00 highlight. A client waiting on "Tell me if a time opens" books it within minutes.

  6. 2:00

Checkout: color plus a bottle of shampoo, tip on the pay link. The tip goes on Hannah's statement and the product commission is recorded.

  7. 2:30

A regular is past her usual gap. She shows on Overdue regulars, and the front desk books her next color from the Done banner.

  8. Friday

Suite rent is collected from each renter. The assistant's share is worked out automatically.

Why switch to NextUp Walk-in

  • Walk-ins get a real line. Most salon software is built around the appointment book. NextUp Walk-in runs a live walk-in line with a TV and Door Tablet beside the book on Pro.
  • Rent, renters and assistants built in. Rent collected on schedule, hybrid renters, assistant splits and payroll files.
  • Your salon's look everywhere. Your logo, colors and fonts on the Check-in Page, TV, booking page, receipts and emails.
  • No marketplace. Your booking page shows only your salon.
  • From a premium salon suite: a four-stylist salon is $69 on Pro, with rent, commission, tip pools and payroll files included, and a live walk-in line with a TV. If a scale link or backbar costing runs your day, compare closely first. See the comparisons.
  • From an all-in-one salon app or marketplace: no marketplace and no fee on a new client (the card fee still applies), and the same booking, deposits and forms. See the switching guides.
  • Switching: first month free on monthly billing with the code SWITCH. Import your clients yourself, formula notes included.

Hair salons: common questions

What is a salon waitlist app?

A salon waitlist app keeps the walk-in line on clients' phones instead of a clipboard or the lobby. Clients check in, see their place and a wait based on the services they picked, and come back when their stylist is ready. NextUp Walk-in also runs the book, checkout and suite rent from the same front desk.

Is a waitlist app or a booking app better for a salon?

They solve different problems. A waitlist handles clients who walk in; a booking app handles those with an appointment. NextUp Walk-in runs the walk-in line on every plan, and Pro puts booked clients on the same line so the front desk has one list.

How does the wait estimate handle color, cuts and blowouts?

Choose the services method, and NextUp Walk-in adds up each client's own services, uses each stylist's own times, and counts how long current visits have been going. Or keep it simple with your average visit time and how many stylists are working. Insights shows how close quoted waits came to real ones.

How does salon check-in work with NextUp Walk-in?

A client scans the code at your door, taps your Instagram or Google link, or uses the tablet at the desk. They enter a name, pick a stylist or "Anyone" and their services, and see their place and wait on their phone. Booked clients are checked in from the calendar when they arrive.

Can a tablet at the front desk be our salon check-in kiosk?

Yes. Open kiosk mode on any tablet and clients tap in themselves. It clears after each client, so it never shows one client's details to the next.

Do clients have to wait in the salon?

No. Their place lives on their phone, so they can step out and come back. If someone's called and doesn't come up, tap "Still coming?" and they can answer 2, 5 or 10 minutes away.

Can clients check in from Instagram before they arrive?

Yes. Put your check-in link in your Instagram bio, on your Google profile or on your website. A website snippet can also show whether you're open and about how long the wait is.

Can I keep a client's color formula?

Yes. Each client has a color record under Trade details: brand, the formula (one line per bowl), ratio, processing minutes and patch-test date. Look a client up by phone to see it with their visit history and staff notes, and bring older formula notes over when you import your client list. On Pro, "Last time" adds up to 3 photos and a note per visit. It does not connect to a scale.

Can clients sign a color consent form?

Yes. Start from the hair-salon template (color history, allergies and a patch-test acknowledgment). A required form is signed on their phone before they join or book and is filed on their profile.

Can clients book color appointments with a deposit?

Yes, with NextUp Walk-in’s Pro plan. Clients book a service, a stylist and a time, and you can ask for a deposit or card on file. A client who cancels before your refund cutoff gets the deposit back automatically.

Can NextUp Walk-in collect suite rent and pay assistants?

Yes, with NextUp Walk-in’s Pro plan. Rent is collected weekly, every two weeks or monthly from a saved card or bank account, or off what you owe them. Assistants can get a percentage of a stylist's tips or services.

Can I sell retail products at checkout?

Yes. Add products with stock at each location. They go on the visit's bill, stock comes off when it's paid, and you can pay a product commission.

Do clients need an app?

No. They join, book and pay in their phone's browser.

Does NextUp Walk-in do processing-time booking, or color formulas with a scale?

Processing-time booking, yes, on Pro: split a service into active, processing and finish time, and the stylist is free for another booked client while color develops. Color formulas are kept as a record on the client, one line per bowl. There is no scale link and no backbar product tracking or cost per service, so if those run your day, compare a dedicated color tool first. Processing gaps apply to booked appointments, not the walk-in line.

Can I move my clients over from my current salon software?

Yes. Import your client list yourself in a few minutes (Excel, CSV, Google Sheets, Numbers or contacts, up to 50,000 clients), with formula notes, allergies, birthdays and tags mapped from your columns. You see every row before it saves, and you can undo it for 7 days.

What is the best waitlist app for a salon?

The best salon waitlist app runs the line and the book from one place. NextUp Walk-in lets clients check in from their phone, shows a wait that knows a color from a trim, calls them back when their stylist is ready, and, on Pro, adds booking, deposits and checkout with tips. See how it stacks up in the walk-in waitlist app comparison on our blog.

Is NextUp Walk-in salon waitlist management software or a booking app?

Both. Walk-ins join the line from their phone or the door tablet, and clients who want a set time book a stylist online with NextUp Walk-in's Pro plan. Walk-ins and bookings share one calendar, so the front desk sees one picture of the day.

How much does salon waitlist software cost?

The Walk-in plan is $29 a month for your first location and $19 for each additional one, with the TV screen and the door tablet. Pro, at $59 and $39, adds appointments, deposits, memberships, commissions and payroll. Both include 3 team members per location, then $10 a month each. The 14-day free trial includes every Pro feature. A card is needed to start, but nothing is charged until the trial ends, when the plan is charged unless you cancel first. There is also a Free plan: 1 location, 1 team member and 50 check-ins a month, and no card needed.

Give your front desk its calm back.

Set up your first location in about two minutes. Your line can be live before your next walk-in.
