Vet clinic waitlist app: walk-ins without the crowded lobby
A vet clinic waitlist app lets pet owners check in from the car park or the front door, wait outside with their pet, and get called straight to an exam room from their phone. The ones worth paying for also move urgent cases up from questions you write and show your team why each pet is coming in.
Vet clinic waitlist app: what it does
It turns the walk-in queue into a list owners hold from their phone. They scan a code or open a link, give the pet’s name and the reason for the visit, and wait in the car or outside. When a room is ready, their phone tells them where to go.
For the front desk it means fewer “how much longer?” trips to the counter, and a lobby that is not a standoff between a reactive dog and a cat carrier.
What a vet clinic needs that other walk-in businesses do not
Urgent cases. A barbershop serves in order; a clinic cannot. The app should let you write a few yes or no questions, such as “Is your pet bleeding?”, and put a yes ahead of routine visits, with the reason visible to your team but never on the waiting-room TV.
Rooms. Owners are not called to “the next chair”; they are called to exam room 3. The call should reach the owner’s phone, wherever they are waiting.
Reasons with their own times. A nail trim, a wellness exam and a sick pet take different times, and the wait should know.
Privacy. The waitlist is not a medical record. Keep clinical notes in your practice software, and make sure the app keeps only what the line needs.
Estimate the wait for the next person who walks in
Slide the numbers to match a busy hour. The estimate is the same arithmetic a line uses to quote a wait.
- Wait for the next person
- 60 min
- Waiting right now
- 6
- Chairs working
- 3 30 min each
Hover or tab to a column for the numbers.
| Wait | |
|---|---|
| #1 | 0 min |
| #2 | 0 min |
| #3 | 0 min |
| #4 | 30 min |
| #5 | 30 min |
| #6 | 30 min |
| #7 | 60 min |
Example arithmetic: the wait for place N is the full rounds of service ahead of you. Real services vary, which is why a live line re-quotes.
Assumes every service takes the same time. A live line quotes from the real services booked, so it moves as the day does.
Use this checklist on every app
Sort the table or search it for the check you care about most. The first three rows are the ones owners feel; the last three are the ones your team feels.
A vet clinic waitlist checklist
| Check in from the car | Nervous pets do better outside the lobby | Can owners join from a code or link, with no app? |
|---|---|---|
| Reason for the visit | A vaccine and an injury are different visits | Does each reason count for its own time in the wait? |
| Urgent first | Some pets cannot wait their turn | Can our own questions move a pet up, and does the team see why? |
| Room calls | Owners need to know where to go | Can we call a pet to a numbered room from the staff screen? |
| Pet first on screen | Staff and owners know pets by name | Does the TV show the pet’s name rather than the owner’s full name? |
| Beside practice software | Records stay where they are | Does it need an integration, or does it run alongside? |
Questions to put to any app, ours included. Answers come from a trial, not from this table.
How NextUp Walk-in runs a vet clinic line
It works beside your practice software rather than replacing it. Emergencies still go straight to the desk, and triage questions are not a medical record.
The Walk-in plan is $29 a month for the first location and $19 for each extra, with 3 team members included per location, then $10 a month each. Pro, which adds online booking, deposits and the calendar, is $59. There is also a Free plan: 1 location, 1 team member and 50 check-ins a month, with no card needed. See the vet clinic check-in app, pricing.
Roll it out without disrupting the clinic
- Write your reasons for a visit and an honest time for each.
- Write two or three triage questions with your vets, and test them on a quiet afternoon.
- Put the join code on the door and in the car park, where owners decide whether to come in.
- Name your rooms so the room calls match the doors.
- Run one busy day and count how many owners waited outside instead of in the lobby.
For the waiting-room side, see running a calmer vet waiting room, and for vaccination records and forms, digital forms and vaccination records. A paper vet clinic check-in sheet is free if you want a backup.
Questions
What is a vet clinic waitlist app?
An app that lets pet owners check in for a walk-in or same-day visit from their phone, wait outside with their pet, and get called to an exam room when it is their turn.
Can urgent pets be seen first?
In the NextUp app, yes, once you switch it on: yes or no questions you write move a pet up as urgent, and your team sees which answer did it. The waiting-room TV never shows why.
Does it replace our practice management software?
No. The NextUp app runs the line beside your practice software. Medical records stay where they are.
How much does a vet clinic waitlist app cost?
The NextUp app has a Free plan for 1 location, 1 team member and 50 check-ins a month. The Walk-in plan is $29 a month for the first location, and Pro is $59. Other apps list their own prices on their pricing pages, so compare them on the same day and for the same number of team members.
