Check-in and waitlist software for walk-in vet clinics
Sick pets in the car, calm owners, and a lobby with room to breathe.
NextUp Walk-in is check-in and waitlist software for walk-in and same-day vet clinics. Owners join from their phone or your Door Tablet, say why they came, and wait in the car or the parking lot with their pet while they watch their place. Your staff keep the line in view, decide who is seen in what order, and call each pet by name when a room is ready.

You're up!Dr. Patel is ready for you.Head to the front now. What a walk-in vet lobby looks like today
Where the time goes today, before anything changes.
A frightened dog meets a cat carrier at the door
Your lobby is small. A reactive dog, a kitten and a rabbit in a box share one wall of chairs, and every one of them is in a worse mood than it was at home. The tech who knows which dog bites cannot be at the door and in room 2 at the same time.
Owners who are worried ask the desk "how much longer" every ten minutes
A person holding a limping dog or a quiet cat does not sit still. Each question pulls your front desk away from the people who are checking in, and nobody can give an honest number, because a nail trim and a sick pet take very different amounts of time.
Vaccine clinic days arrive as a wave
A Saturday low-cost vaccine hour sends a crowd through the door at once. Some are there for a rabies booster and some for something you have not seen yet, and the paper list cannot tell them apart, so the booster that takes minutes waits behind the exam that does not.
The new-patient clipboard, with a leash in the other hand
Owners try to write species, breed, medications and the last vet they used while holding a pet that will not stay still. Forms come back half-filled and the desk retypes them, or the same questions get asked out loud in a room full of other people.
The wait that looks too long becomes a walk-out
An owner who cannot see a place in line or a time leaves for the urgent care down the road, and you never learn how often that happens. The ones who stay are watching the door instead of resting their pet.
Everything looks routine until it is not
A paper list puts a pet that is bleeding on the same line as a pet that needs a nail trim, in the order they arrived. Your team wants to see the difference at a glance, in your own words, without turning the check-in into a clinical form.
How NextUp Walk-in helps
What changes once the line lives on a phone, not on paper.
Wait in the car
Owners join from their phone and wait outside with their pet. Their phone shows their place, and when a room is ready it says so.
Staff stay in control
The line is first-come by default, and your team can set or clear a priority level on any row, with a reason recorded on it. The software never decides who is sicker.
Pets, not clipboards
The new-patient form is signed on the owner's phone before they take a spot, and the TV calls the pet by name.

The line, kept out of the lobby
Every plan
- Wait in the car. Owners join from the door code, a link on your website or Google listing, or the Door Tablet, and see their place live on their own phone, with no app to download.
- Pick one reason. The vet starter list has sick pet and injury or urgent concern (20 minutes each), vaccines (15), wellness exam (30), nail trim (10), microchip (10) and medication or food pickup (5). Your team sees the reason next to each pet, each counts for its own time in the wait, and you can rename them or change the times.
- Pet first, owner beside. The Staff Screen and the "up next" list on the TV show the pet's name with the owner beside it, and the call-up shows the pet's name, so a front desk calling out "Luna" knows who is meant.
- Room the next pet with one tap. Tap "In room 3" or "Ready" on the row, and the owner's page says "Come to room 3" or "Ready for you," with a push notification if they allowed notifications.
- Walk-ups and phone-ins go into the same line from the front desk, so the car-side owner and the one at the counter are in one list.
- Several pets on one ticket. "Add someone" puts up to five on one ticket, each with its own name and reason. Staff see each pet as its own row, marked "Family of N," and room them separately.
- "I'm not there yet." An owner running errands can tell the page how far away they are and gets one "Leave now" notice by push, or by email if push is not on, never by text.
- A cap and a closing time stop late joins when you cannot see another patient before you close.
Your team decides the order
Every plan
Off until you switch each one on for a location, under Locations, Advanced settings. A clinic that leaves them off keeps the plain first-come line. None of it is clinical triage or a medical record.
- Priority lanes you control. The line is ordered by level, then arrival: urgent, accessibility, appointment, then everyone else. Staff can set a row to Urgent or Accessibility or clear it, and every change records who and why. Priority never changes who has already been called or is being seen.
- Questions you write, if you want them. Up to five yes/no questions on the join form under "Does any of this apply right now?" in your own words. A yes moves the pet up for your team to look at, and the row shows "Triage:" and the question. Only the answers that were yes are kept on the visit, and the form tells owners that an emergency means telling the front desk right away.
- Accessibility priority. If you allow it, a tick on the join form ("I need priority seating or help") moves the owner up, and the staff row says they asked for it at check-in.
- Species and breed on the staff row, from the pet's record, with a handle-with-care flag and a reactive or biting temperament shown first, so a pet that needs two hands is flagged before the room.
- Appointments go ahead of walk-ins when you want, so a booked wellness exam is not stuck behind a nail trim.
- Which vet sees which reason. Tick who may take each reason, and "Call next" for a vet skips visits they are not on. A window or room label for each person, like "Room 2," shows on the call-up on the TV and on the owner's page.
- Ticket numbers, if you prefer them. The TV and the owner's page show a number like A012 instead of a name, and the Door Tablet can print a slip with the number, the people ahead and the estimated wait.
- A longest-wait flag. Set how many minutes is too long, and anyone waiting longer is marked on the Staff Screen and counted in the Service report.
- A service report. Per vet and per reason, for the last 7 or 30 days: visits, average wait, time with the pet, the slowest tenth and the share seen within the target you set. Owners and managers can download it as a CSV.
- One limit to know. A ticket with more than one pet does not run the urgent questions or the accessibility tick when it joins, so staff set a level on those rows by hand.
Paperwork, records and reminders
Every plan
- New patient (pet) form from the vet starter (pet's name, species and breed, birthday, medications and allergies, previous clinic, and a box saying they are the owner or have the owner's permission), signed on the owner's phone before they join. Ask once, every visit or once a year, and the signed copy is filed on the client's profile.
- Health Records: each pet's vaccinations (rabies and bordetella are the usual examples) and other due dates, with a photo of the certificate, marked current, expiring soon (within 14 days) or expired.
- A heads-up on the Staff Screen for anything due within 14 days, and one reminder email to the owner at the address on file, unless they unsubscribed. Texts are not live.
- An optional check-in gate, off until you turn it on: an expired record you marked as blocking stops online check-in, and an owner who is signed in sees which record expired, while anyone else only sees that a record needs updating, so typing a phone number never reveals someone's records.
- The pet's record keeps breed, weight, coat, temperament (calm, nervous, reactive or bites) and a handle-with-care flag.
- A report card at checkout. A short note on how the visit went and when to come back, and "Save and email ready for pickup" emails the owner that their pet is ready.
- Return in N weeks. Set it on a service, such as a booster or a recheck, and the receipt reads "Return in about 4 weeks," with the rebook suggestion following it.
- Licences and a cleaning log. Veterinarian and vet tech licences with number, state, expiry and a photo, and an email to the owners 30 and 7 days before one expires. The cleaning log starts from kennels, tubs, tables and tools, is ticked from the Staff Screen and prints or downloads for an inspector.
- Customer screens in seven languages: English, Spanish, Vietnamese, Korean, Portuguese (Brazil), Haitian Creole and Simplified Chinese. Owners pick one, or the page opens in the first of their browser languages it has.
Same-day and booked visits
Pro
- Online booking (Pro) for wellness exams and vaccines beside the walk-in line, with confirmations and reminders 24 hours and 1 hour before, by email.
- Wellness plans as memberships (Pro) and prepaid packages (Pro), with food and supplies as products at checkout.
- Deposits or a card on file where you want them.
- Not here, by design: medical records, SOAP notes, prescriptions, controlled drugs, imaging and estimates stay in your practice software.
A Saturday at a walk-in vet clinic with NextUp Walk-in
An example day, hour by hour, with the line on everyone's phone.
- 7:45
Three owners are already in the parking lot. They scan the door code and wait in their cars.
- 8:00
Doors open. The lobby is empty, which is the point. The TV calls pets by name, and the front desk has the whole list.
- 8:30
An owner picks "Injury or urgent concern," answers yes to "Is your pet bleeding?" and fills the new-patient form on her phone. The row moves up as urgent with "Triage: Is your pet bleeding?" under it, and your tech decides whether to bring her in now.
- 9:15
The vaccine hour opens. Twenty owners join in ten minutes from the sign on the door, and each sees a different wait because a booster is a short visit.
- 10:00
A family joins with two cats on one ticket, one for a nail trim and one for vaccines. The team sees both reasons beside both names, and rooms them one at a time.
- 10:40
A returning owner joins for a recheck. The Staff Screen shows a rabies certificate due in 9 days, so the desk asks to see the new one when she comes in.
- 11:20
The tech taps "In room 2" on Biscuit. The owner's phone says "Come to room 2," and she walks in from the car.
- 12:30
A booked recheck checks in beside the walk-ins and joins in her time slot, ahead of the walk-ins who arrived a few minutes before her.
- 1:00
The tech sees the "handle with care" flag on a dog in the line and meets the owner at the car instead of bringing the dog through the lobby.
- 2:00
An owner who waited an hour leaves the line. It counts as a walk-out in Insights, not a mystery.
- 3:00
At checkout the tech fills in the report card and taps "Save and email ready for pickup," and the owner knows to come back.
- Monday
Insights show visits by day, quoted waits against real waits and the busiest hours, and the Service report shows the average wait by vet and by reason, so you can plan the next vaccine clinic.
See NextUp Walk-in set up for walk-in vet clinics
Six screens, one system, always in sync — styled the way your customers and team will actually see it.
Why add a walk-in line to your clinic
- From a lobby clipboard: owners join from a phone, wait in the car and see their place, so the lobby stays quiet and the front desk answers fewer "how long" questions.
- From a phone that rings all day: the Check-in Page shows the wait before anyone calls, and phone-ins go into the same line.
- Beside your practice software, not instead of it. Check-in and the line live here, and the chart, prescriptions and lab results stay in your practice software. There is no two-way sync, so staff use two screens.
- Staff stay in charge: the order is first-come unless your team changes it, and every change records who and why. We do not decide who is sick.
- Where we are not the fit: there is no medical record, no calendar sync with your practice software and no HIPAA business associate agreement. Texts are not live, so reminders go by email.

Walk-in vet clinics: common questions
What is walk-in vet clinic software?
It is a check-in and waitlist tool for vet clinics that see walk-ins and same-day visits. Owners join from their phone, see their place and wait, and your staff see the line, the reason for each visit and which exam room is ready. It does not replace your practice software.
Is there a waitlist app for walk-in vet clinics?
Yes. NextUp Walk-in runs on any phone or tablet, and owners do not download anything. It was built for walk-in lobbies, with pet-first screens, car-side waiting and vaccine records, and it sits beside your practice software.
Can owners wait in the car with their pet?
Yes. They join from their phone or your door code and see their place live. When a room is ready, your team taps "In room 3" and the owner's page says "Come to room 3," with a push notification if they allowed notifications. An owner who is away can say how far they are with "I'm not there yet" and gets one "Leave now" notice.
How do we keep anxious pets out of a crowded lobby?
Owners do not need to sit in the lobby to hold their place. They wait in the car or the parking lot and come in when called, so fewer pets share a small room at once. A handle-with-care flag and a reactive or biting temperament on the pet record show on the staff row, so your team can meet that owner at the car.
Does the software triage patients?
No. The line is first-come, and your staff decide the order. If you switch on priority lanes, staff can set a pet to Urgent or clear it and each change records who and why. You can also write up to five yes/no questions, but this is not clinical triage, and emergencies still go straight to the front desk.
Who decides who is seen first?
Your staff do. The line follows arrival unless your team changes it, and priority never changes who has already been called or is being seen. The TV and other owners never see why a pet was moved, though the owner of that pet sees that they have been moved up.
Can we use it for a vaccination clinic day?
Yes. Owners pick a vaccine as their reason, each reason counts for its own time in the wait, and a cap on how many can wait at once keeps the line honest. You can also set a closing time so late joins stop automatically, and the Service report shows the average wait by reason afterward.
Can new clients fill out paperwork before they come in?
Yes. Use the new patient (pet) template and make it required. Pet name, species, breed, medications and allergies are signed on the owner's phone before they take a spot, and the form is filed on their profile.
Can we flag a reactive or aggressive pet?
Yes. The pet's record has a handle-with-care flag and a temperament of calm, nervous, reactive or bites. Flagged items show first on the staff row, with the species and breed, so your team sees them before the pet reaches the room. Nothing about it appears on the TV or on other owners' screens.
Can we show the line on a waiting-room TV?
Yes. The call-up shows the pet's name, and the up-next list shows the pet's name with the owner beside it, with a QR code for the next walk-up, in your clinic's colors. Anything staff mark as urgent is never shown on the TV or to other owners.
Can we take walk-ins and booked appointments together?
Yes, on the Pro plan. Booked wellness exams and vaccines sit beside the walk-in line with reminders 24 hours and 1 hour before, and a booked owner checks in and joins in their slot. With the appointments-first setting on, a booked visit goes ahead of walk-ins.
What if an owner steps out or goes for a walk with the dog?
They still hold their place from their phone, and the page tells them when their turn is near. If you turn on the no-show timer, someone you call who does not come up is marked a no-show after the minutes you set, and the "Are you still coming?" prompt on their page lets them answer.
Can one owner check in more than one pet?
"Add someone" puts up to five on one ticket, each with its own name and reason, and each shows on the TV by its own name. Staff see a row for each pet marked "Family of N." A ticket with several pets does not run the urgent questions at join, so staff set a priority level by hand if one of them needs it.
Does it replace our practice management system?
No. It is not a medical record system and there is no two-way sync. Keep records, prescriptions and lab results in your practice software, and use NextUp Walk-in for the line, the reason for the visit, the new-patient form and payment.
Can it keep track of vaccine due dates?
Yes. Health Records hold each pet's vaccinations and other due dates with a photo of the certificate, and show which are current, expiring soon or expired. Your team gets a heads-up on the Staff Screen for anything due within 14 days, the owner gets one reminder email, and you can turn on an optional check-in gate for expired records.
Can it print a numbered ticket for the door tablet?
Yes, if you turn on ticket numbers and the printed ticket for the location. The slip shows the number, the people ahead, the estimated wait and a QR to the owner's own place. It goes through the browser's print dialog on a receipt printer, and the TV and the owner's page show the number instead of a name.
Quiet lobbies start with a place in line.
Set up your first location in about two minutes. Your line can be live before your next walk-in.
