Client record
A client record is the file a business keeps on one customer, with their contact details, visit history, preferences and notes, so every team member starts with the same facts.
Also called: customer profile, client profile, client card
A client record turns a stranger at the door into a regular. It holds the basics, such as name and how to reach them, and the useful details: the last service, which clipper guard they like, the dye formula, the allergy note, the stylist they prefer.
For a walk-in shop, the record also answers a business question: who has not been back? A barber who sees that a regular last came in eleven weeks ago, when they usually come every four, has a reason to reach out. Without records, those lapses are invisible.
Records come with duties. Notes should be about the service, not about the person, and marketing contact should only go to people who agreed to hear from you.
How NextUp Walk-in handles it
Client profiles keep visit history, staff notes and a retention view of who has not been back. A walk-in who checks in without a phone number has no profile, and staff can link the visit to one from the Staff Screen.
Questions
What should be in a client record?
Contact details, visit history, services and preferences, plus short staff notes that help the next visit. Keep it factual and relevant to the work.
