Free printable sign-in sheets: what they are and when to use them

NextUp Walk-in has free printable paper sign-in sheets at nextupwalkin.com/tools/sign-in-sheet. They're a backup for the digital line, not a replacement: keep a few printed for when your internet or NextUp Walk-in is down, or for a customer who doesn't have a phone or would rather not use it. Customers write their name on the sheet, and your team adds them to the line from the Staff Screen once it's working (see below).

The sheets are free for anyone. They don't need a NextUp Walk-in account, a sign-up or an email address, and you can print as many as you like. They're a page on the NextUp Walk-in website, not part of the dashboard.

What's on a sign-in sheet

Each sheet is one US Letter page in portrait, black on white, with your shop name at the top (or a blank line to write it in), a line for the date, a short note telling customers what to write, and 22 numbered rows (18 if you add a QR code). On A4 paper, choose "Fit to page" in the print dialog.

There's a general walk-in sheet and one for each of these trades, each with its own columns:

  • Any walk-in shop: number, first name, time in, here for, asked for, and a Done box.
  • Barbershop: number, first name, time in, barber, service boxes (Cut, Fade, Beard, Lineup, Kids), and Done.
  • Hair salon: number, first name, time in, stylist, service boxes (Cut, Color, Blowout, Style), and Done.
  • Nail salon: number, first name, time in, tech, service boxes (Mani, Pedi, Gel, Acrylic, Dip), and Done.
  • Tattoo and piercing: number, first name, time in, artist, here-for boxes (Flash, Piercing, Touch-up, Consult), and ID and Waiver boxes.
  • Auto repair and service: number, name, time in, vehicle, service boxes (Oil, Tires, Brakes, Diag), and waiting or drop-off (W or D).
  • Pet grooming: number, owner, pet and breed, time in, service boxes (Bath, Groom, Nails), a Shots box for your team to tick once they've seen a current vaccination record, and Done.

There's no phone number column on purpose. The sheet sits on the counter where anyone can read it, so a list of names and numbers is easy to photograph. Take a number privately instead, when you add the person to the line.

The numbered rows are the order: call people in sign-in order and tick Done as each one is seen. The tattoo and auto repair sheets have no Done box.

How to print a sign-in sheet

  1. Open nextupwalkin.com/tools/sign-in-sheet (the website's footer links to it as "Free sign-in sheet").
  2. Under "Pick your industry", choose your trade, or "Any walk-in shop" for the general sheet.
  3. Optional: type your shop name. Leave it blank to write it in by hand.
  4. Optional: paste your check-in link (it must start with https://). The sheet then prints it as a QR code with "Skip the clipboard. Scan to join the line from your phone and see your wait." Leave it empty for a paper-only sheet. Your check-in link is the address of your location's Check-in Page, which you can open from the Screens button (the TV icon) at the top of the dashboard.
  5. Press "Print this sheet". The preview on the page is exactly what prints. To save your version as a PDF, press Print and choose "Save as PDF".

"Download blank PDF" gives the same sheet with no shop name and no QR code of yours. A blank sheet has a small QR code in the footer that links to the NextUp Walk-in website; a sheet with your own QR code leaves it off, so customers have only one code to scan.

The tool page needs the internet, so print a few sheets (or save the PDF) before you need them.

Getting names from a sign-in sheet into the line

Nothing on a paper sheet reaches NextUp Walk-in by itself: the app doesn't scan or read the sheet. Someone on your team adds each person by hand.

  1. On the Staff Screen, press Add to line. Owners and managers can also use the + button at the top of any dashboard page, then Add to line.
  2. Type their first and last name. The sheet only asks for a first name, but every check-in needs a full name, so ask for their last name. A mobile number is optional unless your location requires one; take it from them privately, not from the sheet. Text updates are coming soon; until then, leave any texting box unticked unless the customer agrees after you read them the consent wording.
  3. If you like, pick what they're getting and who they'd like, from the sheet's columns. It helps time the wait.
  4. Add people in the order they signed the sheet, since each one goes to the end of the line. Then tick their row on the sheet so nobody is added twice.

You can add someone even when the line is closed to walk-ins; the Staff Screen says they'll be called in order. Adding someone needs a connection. If the connection drops while you add someone, the Staff Screen says they may not have been added and keeps what you typed, so you can check the line and press Retry. During an outage, keep calling from the sheet and add the remaining names once you're back online.
