## What the columns are for

New or returning is the column that sets the pace. A returning client may only need to sign and drop off documents, while a new client needs an intake and more time.

Personal or business tells the desk which preparer or which hour to offer. A business return needs a different conversation from a simple personal one.

The "Docs" box is the first thing the desk wants to know. Someone who has everything with them can start now; someone without a W-2 or other paper may be better rescheduled, and it is kinder to say that early.

The preparer column keeps requests visible, so a returning client who asked for the same person is not handed to someone else by mistake.

## When the clipboard stops working

Paper works while the lobby is small. It stops when people look at a full room and leave without signing, when customers wait for one person, or when someone asks "how long?" and nobody knows. A sheet records arrivals. It can't show a wait, and it can't tell anyone it's their turn.

NextUp Walk-in is the same list on a phone. Customers scan a code at the door, see their place and wait, and follow it live from anywhere (text alerts coming soon). A TV in the lobby shows who's next. It's free for one location, one team member and 50 check-ins a month; paid plans, with the lobby TV, start at $29 a month for the first location, with a 14-day free trial. ## Common questions

Why is there no phone number column?

A sign-in sheet sits on the counter where every customer can read it. A column of names and phone numbers is a list anyone can photograph. If you want to text people when it is their turn, take the number somewhere private, such as a phone Check-in Page that only the shop can see.

Is a paper sign-in sheet safe for a tax office?

Only if it holds almost nothing. This sheet asks for a name, new or returning, and a documents box, and it asks clients not to write numbers or income. Keep every figure, ID and Social Security number on the intake form, never on the sheet at the counter.

What should clients write for their name?

A first name and last initial is enough. That keeps the sheet readable at the counter without showing a full name list to everyone who walks in.

How do I manage walk-ins during tax season?

Call in sign-in order for each preparer, give anyone without documents a clear next step, and tick "Done" as each client leaves. The returning or new mark helps the desk guess how long each visit will run.

Do I need to fill in the documents box?

The box is for the desk. Tick it once you have confirmed with the client that they brought what the preparer asks for, such as income forms and last year's return.

Is this sign-in sheet free?

Yes. Print as many as you like, with no account and no email.
