# Walk-in waitlist and check-in app for barbershops

The barbershop app built around your walk-in line.

Walk-ins scan the code at your door, pick their barber (or "Anyone"), and watch their place on their phone. The TV shows who's in the chair and who's next. Booked cuts, checkout, tips and booth rent run from the same screen.

Saturday morning at the barbershop, and every chair has someone waiting behind it. Nobody can say who's next, and everyone wants to know how long.

Customers scan a code at the door and join your line from their own phone. No app to download, and no account to make. They can grab a coffee next door, and come back when it's their turn.

The TV in your waiting area shows who's up next, and an honest wait, so nobody has to ask how much longer.

Max calls the next client with a tap, starts the cut, and finishes up. No sign-in sheet, and no shouting across the shop.

Start with a list of services made for barbershops, and NextUp Walk-in uses their times to keep every wait honest.

Insights show your busiest days and hours, your average wait, and how many clients you served, so you know when to put another barber on the floor.

At our demo shop, Max's next client is already on the way, and the waiting area stays quiet. Yours can run the same way.

## What a Saturday looks like without it

Where the time goes today, before anything changes.

**Max**A busy Saturday, from behind the chair.Illustrated character

-

### The bench is the waiting list

Ten people on the bench and two standing. Nobody's sure who came in first, and the guy by the door leaves before anyone takes his name.

-

### "How long?" between every cut

Your barbers stop mid-fade to count heads and guess.

-

### Regulars want their barber

Nobody can tell them how long Marcus's wait is compared with the next open chair.

-

### Walk-outs you never count

The shop looks full through the window, so people keep walking. That money never shows up on a report.

-

### Money at the end of the week

Chasing booth rent, sorting cash tips, and working out who's owed what on a napkin.

A real shop, running on it today

## Fade Factor swapped the paper clipboard for a line everyone can see.

“We have a lot of barbers in the shop, and with a paper clipboard nobody could keep track of who was next or how long the wait really was. People would walk in, see the clipboard and a room full of people, and a lot of them, parents with kids especially, would figure it was going to take forever and walk right back out. And when someone asked a barber how long it would be, that barber often didn't know, so we'd give the wrong answer and lose them anyway. Now they check in on the kiosk, look up at the TV, or scan the QR code on our front window before they even walk in. Everybody can see where they stand. It finally feels like a modern shop.

## How NextUp Walk-in helps

What changes once the line lives on a phone, not on paper.

1

### Booth rent, collected

With NextUp Walk-in’s Pro plan, rent is collected from each renter on schedule. Online tips are tracked for each barber, ready for payroll.

2

### The wait, measured

Set how many barbers are on and your average cut; NextUp Walk-in keeps the estimate honest.

3

### Your shop on the TV

Now calling, up next and the current wait, plus a code for anyone walking in.

## How NextUp Walk-in runs your shop

Every feature here is in NextUp Walk-in today. The ones marked Pro come with NextUp Walk-in Pro; the rest are on every paid plan. [Compare plans](https://nextupwalkin.com/pricing).

### The line

Every plan

- **Check in from the door, a link or a tablet.** Customers scan the QR code at the door, tap the link in your Instagram bio or Google profile, or use the Door Tablet. They give a name and nothing else (a mobile number is optional), with no app and no account.
- **Pick your barber or "Anyone".** Turn on barber choice, and the join form lists who's working today, with photos. "Anyone" comes first for people who just want the next open chair. Each barber's own wait shows next to their name.
- **Walk-ups and phone-ins in the same line.** Staff add someone who walks up to the counter or calls ahead, so everyone is in one line in the right order.
- **Bring the kids.** "Add someone" puts up to five people on one ticket, so a dad with two boys joins once and each boy keeps his own place.
- **A line that runs itself.** Set your hours and the line opens and closes on its own, stopping new walk-ins a set time before closing. Set a cap and the join page says "The line is full" when you reach it. Turn on the no-show timer and anyone called who isn't in the chair within 5–30 minutes is marked a no-show, and the next person is up.
- **"Are you still coming?"** Tap it and the customer answers that they're 2, 5 or 10 minutes away, or can't make it.

### A wait you can trust

- **Average cut × barbers on duty**, or let customers pick services and NextUp Walk-in adds up each person's own (a skin fade isn't a line-up) and counts how long current cuts have been going.
- **Per-barber service times.** If one barber does a fade in 25 minutes and another in 40, set it per person.
- **See how close you were.** Insights compares the waits you quoted with real ones, and shows each barber's median time per service.

### Screens for the whole shop

- **The TV:** now calling with the barber's photo, up next, the current wait, a QR code to join when the line is empty, the local weather, and, on the web TV, names spoken aloud when someone's called. It's in your colors, logo and fonts. It works with the NextUp app on Apple TV, Roku and Fire TV, or in a browser on a streaming stick, and supports portrait TVs too.
- **The staff screen:** call next, seat, done, no-show, re-call, from any tablet, laptop or phone.
- **Each barber's own line.** A barber sees who's waiting for them, and can post a delay message ("running 10 behind") that customers who picked them see right away.
- **The Door Tablet:** kiosk mode turns any tablet into a check-in screen that never remembers one customer's details for the next.

### Walk-ins and the book, side by side

Pro

- **Online booking beside the line.** Customers pick a service, a barber and a time. When a booked customer arrives, staff tap Check In and they join the live line. The Staff Screen shows "Upcoming today" with an "In 25 min" or "10 min late" badge.
- **A booking link for each barber.** Each barber gets their own link to put in their bio, showing their name and their work photos.
- **Regulars on repeat.** Book weekly, every two weeks or monthly, up to 12 visits in one go.
- **Deposits and no-show fees.** Ask for a deposit or a card on file when someone books. If they don't show, staff charge the fee you set.
- **Reminders 24 hours and 1 hour before** by email.
- **Fully booked? "Tell me if a time opens."** When someone cancels, everyone waiting for that day, service and barber is emailed, and the first to book gets the slot.
- **Book the whole family.** One person books for themselves and up to 4 guests, back-to-back with one barber or at the same time with anyone.
- **Your barbers' own calendars.** Bookings sync to each barber's Google Calendar (Apple, Google or Outlook can also subscribe to a calendar link), and drag-to-move works on the shop calendar.

### Checkout at the chair (not another POS)

- Take **cash** with change, show a **pay link or QR** the customer pays on their phone (Apple Pay, Google Pay or a card), charge a **saved card**, or use a **Stripe S700 card reader** at the counter. A reader is optional.
- **Tip buttons you set**, a **split bill** when friends pay separately, **gift cards** (Pro), and **products** like pomade with stock counts and low-stock alerts.
- **End-of-day close-out:** card, cash and tips by barber, with the drawer counted over or short.
- NextUp Walk-in's card fee is 0.5% of card payments, never on tips, at most $1 a payment, on top of Stripe's processing fee.

### Barber pay, done for you

- **Tips tracked for each barber.** Card tips land in your Stripe account and show on each barber's statement. You choose who bears Stripe's fee on tips.
- **Booth rent, collected (Pro).** Weekly, every two weeks or monthly. NextUp Walk-in charges a card or US bank account they save, or takes it off what you owe them.
- **Commission splits, tip pools and cash tips (Pro for commissions and pools).** Pay a barber their tips plus a percentage of services, share tips by hours or points, and record cash tips so they show up in payroll.
- **Payroll files ready to import (Pro):** Gusto, RUN Powered by ADP, ADP Workforce Now or QuickBooks Payroll, with hours from the time clock.
- **Statements for every barber,** as PDF, CSV or Excel, and each barber sees their own earnings in their own sign-in.

### Bring them back

- **Loyalty stamp cards in your shop's colors (Pro).** Every finished cut earns a stamp, and "Reward unlocked" shows on the customer's phone.
- **Memberships (Pro).** A monthly cut club with a member discount taken off at checkout.
- **Email campaigns with barbershop templates (Pro),** sent only to customers who ticked "Stay in the loop" themselves, plus rebooking reminder emails a set number of days after a cut.
- **Reviews.** After a cut, customers rate it 1–5 and every customer is offered your Google review link, whatever they rated.
- **Show the work.** An "Our work" gallery on your Check-in Page (up to 24 photos), plus up to 12 photos on each barber's own booking link.

### Know your regulars

- **A cut card on every client.** Guard on top, guard on the sides, neckline and a note, kept on the client's profile under Trade details and found by phone number. It shows on the staff screen when you call them, so any barber can repeat the cut.
- **A regular's own price.** Set a price (or a length of time) for one client on one service: "Dana's cut is $25". It is matched by phone number, shows on the visit and the bill, and never touches anyone else.
- **Options on a service.** A haircut can have tiers, like Regular or Long hair, each with its own price and minutes. The customer picks one when they join or book.
- **"Last time" photos (Pro).** Up to 3 photos and a note per visit, added after the client taps to say a photo is okay, and shown on the staff screen when you call them.
- **Overdue regulars (Pro).** A list of clients past their usual gap with their barber, most overdue first, with a Rebook button.
- **One-tap rebook (Pro).** "Book their next visit" on the Done banner opens up to 3 open times near the client’s own rhythm, with the same barber and services.
- **Retail with product commission.** Pomade and clay go on the same bill, stock comes off when it is paid, and you can pay the barber a product commission.

### Also built in

- **Lookbook.** Photos on your cuts, in sections like Fades and Tapers. Walk-ins pick a cut from the grid when they join, and the barber sees it on the ticket. Every plan.
- **A child's haircut consent form** a parent signs on their phone, and a straight-razor shave form, both from barbershop starter templates.
- **Customer screens in English, Spanish and five more languages,** following the phone's language.
- **Insights:** busiest hours by weekday and hour, walk-ins, people who left the line, no-shows, plus a Monday summary email. There's also a one-click package for your accountant.

### Smarter waits

Every plan

- **Best time to come today.** The Check-in Page shows the lowest expected wait by quarter-hour for the rest of today, from the same weekday over the last 8 weeks and the live line, so someone with time to spare comes when it is quietest.
- **Each barber's own wait.** When customers choose who serves them, the Check-in Page shows every barber's wait next to their name, plus "First available". Once called, they see a range ("called in about 15–25 min") worked out from each person's real service times.
- **"Tell me when the wait is shorter."** When the wait is over 10 minutes, a customer can ask to be told when it drops, by email.
- **Family tickets.** A dad and two boys check in once. Each gets their own place, cut and barber, and barbers serve them separately.
- **Overflow between locations.** If another of your locations nearby has a much shorter wait for the same services, the join page offers a move there and keeps the customer’s place fair. For businesses with more than one location, so on paid plans (Free is one location).
- **Seven languages for customer screens:** English, Spanish, Vietnamese, Korean, Portuguese (Brazil), Haitian Creole and Simplified Chinese. The newest six are machine-drafted, and corrections are welcome.

### On the floor

- **A button at each barber's station.** Every team member gets a secret link to open on a spare phone or tablet at their station. One big button finishes the current visit and calls the next customer, hands free.
- **A page for each barber.** A team member with a booking handle gets a public page with their photo, services and prices, and the live wait or booking.
- **Visit photos and "Last time" (Pro).** Up to 3 photos and a note per visit, added after the customer says OK to a photo: the fade you gave last time, so any barber can match it. It shows on the Staff Screen when they are called.
- **On the TV (all opt-in):** a full-screen "You’re up!" with the first name, the team member’s photo and a chime; spoken call-ups in English or Spanish; a large-text, high-contrast view; and rotating content between calls (the wait, flash sales (Pro), recent 4 and 5 star reviews, the best time to visit). The Apple TV and Roku apps show the spotlight, chime and rotating wait, sales and review cards; spoken call-ups, the large-text view and the best-time slide are on the web TV.

### Bring regulars back

- **Overdue regulars (Pro).** Cuts come round every few weeks, so a regular who has gone quiet shows up in a list. Clients past their usual gap with nothing booked, most overdue first, one tap to reach out by email (only to those who opted in).
- **One-tap rebook (Pro).** At checkout and on the Done banner, "Book their next visit" offers the 3 open times nearest the client’s own rhythm, with the same services and person.
- **Loyalty streaks and tiers (Pro)** on top of stamp cards: on-schedule streaks and tiers you name, with a perk for each.
- **Client referrals (Pro, off until you switch them on).** "Give a friend $5 off, get $5 store credit", paid for by you, with a yearly cap per client.
- **First-visit certificate** (every plan). A printable, shareable certificate for a client’s first visit.

### Licences, cleaning and insight

- **Licences and insurance for each team member,** with expiry reminders: barber licence, cosmetology licence and bloodborne pathogens certificate, and booth renter or liability insurance.
- **A cleaning log** for each location, from a starter list for this trade (disinfect tools between clients, clean stations, change towels and capes), ticked off per shift and printable for an inspector.
- **Ask about your business (Pro).** Plain-language questions about your own numbers, from Help, like "Which day was slowest last month?".
- **How you compare (Pro):** your median wait, no-show rate, rebook rate and average ticket against other barbershops of your size, over 90 days.
- **Suggested team on duty and review themes (Pro),** plus a weekly "This week, try" on every plan with up to three actions from your numbers.

## A Saturday with NextUp Walk-in

An example day, hour by hour, with the line on everyone's phone.

- 8:45 The line opens on its own at 9. Early birds join from the parking lot.

- 9:30 The bench is half full and the TV says 25 minutes. Two guys go next door for coffee and watch their place on their phone.

- 10:15 A regular picks Marcus. Marcus's wait is 40 minutes and "Anyone" is 15. He waits for Marcus, and Marcus sees him on his own list.

- 11:00 Marcus's fade runs long. He posts "running 10 behind", and everyone waiting for him sees it straight away.

- 12:30 A booked client checks in and joins the line in his slot. The TV calls the next walk-in by name, out loud.

- 1:15 Marcus calls a regular. "Last time" shows the photo of his last cut and the note about the guard, saved with his OK.

- 2:00 Someone called doesn't come up. You tap "Are you still coming?" and he says 5 minutes.

- 3:30 A dad and two boys join once as a party of three. A pomade sells with the cut, stock drops and Marcus’s product commission is recorded.

- 5:15 The line stops taking walk-ins 45 minutes before close. Nobody gets a surprise at the door.

- 6:10 Close-out: cash counted, card tips already on their way to each barber's bank.

- Friday Booth rent runs for each renter on its schedule, and the barbers’ statements show tips, commission and rent.

- Monday 7:00 Your summary email lands: busiest hours, average wait, walk-outs, top services. Booth rent is collected on schedule.

## See NextUp Walk-in set up for barbershops

Six screens, one system, always in sync — styled the way your customers and team will actually see it.

## Why switch to NextUp Walk-in

- **From a paper sign-in sheet:** the order is visible to everyone, nobody has to stand around to hold a spot, and you finally see how many people left.
- **From an appointment-first app:** those are built around the book. NextUp Walk-in gives walk-ins a real line beside it, with a QR code at the door, a live wait on their phone and a TV that shows who's next. On Pro you keep online booking, deposits, reminders and a team calendar.
- **Team pricing:** 3 team members included per location, then $10 a month each. Some booking apps charge $20 or more for each extra staff member ([see the comparisons](https://nextupwalkin.com/compare)).
- **Your clients stay yours:** your booking page shows only your shop. There's no marketplace listing a competitor next to you.
- **From a barber-first booking app:** keep online booking, deposits and per-barber links on Pro, and add a live walk-in line with a TV and a place on the customer’s phone. Rent, commission, tip pools and payroll files are in Pro at $59, not a higher tier. [See the switching guides](https://nextupwalkin.com/switching) or [the comparisons](https://nextupwalkin.com/compare).
- **From a marketplace app:** your booking page shows only your shop, and there is no fee on a new client (the card fee still applies). The trade-off is that there is no marketplace sending you new clients: people find you through your own link, your Google profile and your Instagram bio.
- **Switching offer:** your first month free on monthly billing with the code **SWITCH**. Import your client list yourself in a few minutes (Excel, CSV, Google Sheets or contacts).

## Barbershops: common questions

How do barbershops manage walk-ins with NextUp Walk-in?

Customers scan the QR code at your door, enter their first and last name and join the line from their phone. They see their place and the wait live, and know the moment their barber is ready. Barbers call the next customer from the Staff Screen, and the TV shows who's in the chair and who's next.

Can customers pick their barber?

Yes, if you turn it on for that location. The join form lists the barbers working today with photos, and "Anyone" comes first. Each barber's own wait shows next to their name, and the TV and their phone show which barber is ready for them.

Do my customers need to download an app?

No. They join in their phone's browser with no account. A name is all they need, and a mobile number is optional.

Can I run walk-ins and appointments together?

Yes, with NextUp Walk-in’s Pro plan. Appointments sit beside the walk-in line, booked customers join the line when staff check them in, and confirmations and reminders go out 24 hours and 1 hour before. You can ask for a card on file or a deposit and charge the fee you set if they don't show.

Can each barber have their own booking link?

Yes, with NextUp Walk-in’s Pro plan. Each barber has a link that books only with them, showing their name and up to 12 photos of their work.

Can NextUp Walk-in collect booth rent from my barbers?

Yes, with NextUp Walk-in’s Pro plan. Set rent weekly, every two weeks or monthly for each renter. NextUp Walk-in charges a card or US bank account they save, or takes it off what you owe them. Online tips are tracked for each barber.

Can I pay barbers commission and export payroll?

Yes, with NextUp Walk-in’s Pro plan. Set a flat, percentage or tiered commission per barber. The Payroll page builds the import file for Gusto, RUN Powered by ADP, ADP Workforce Now or QuickBooks Payroll, with hours, commission and tips.

Is NextUp Walk-in a POS?

No. NextUp Walk-in takes payment for a visit's bill: cash, a pay link or QR, a saved card, or a Stripe card reader at the counter. It doesn't connect to other point-of-sale systems.

What do I need for a TV in the shop?

An ordinary TV with an HDMI port and a small streaming device. The NextUp app on an Apple TV is the best option. Install the NextUp app on an Apple TV, Roku or Fire TV, or open the screen in Amazon Silk on a [Fire TV Stick 4K Max](https://www.amazon.com/dp/B0BP9SNVH9) or in Chrome on a [Google TV Streamer](https://www.amazon.com/s?k=Google%20TV%20Streamer). A standard Chromecast doesn’t work. The TV shows a short code that you enter in your dashboard once.

As an Amazon Associate, NextUp Walk-in earns from qualifying purchases.

Do you send me new clients, like a marketplace?

No, by design. Your Check-in Page and booking page show only your shop. Customers find you through your own link, QR code, Google profile and Instagram bio, and there is no fee on a new client (the card fee still applies).

Can I keep a cut card with guard numbers and styles?

Yes. Each client has a cut card under Trade details: guard on top, guard on the sides, neckline and a note. It is found by phone number and shows on the staff screen when you call the client, and on Pro the "Last time" photos show there too. You can also give a regular their own price or length of time for a service.

How much does a barbershop waitlist app cost?

The Walk-in plan is $29 a month for your first location and $19 for each additional one, with the TV screen and the door tablet. Pro, at $59 and $39, adds appointments, deposits, memberships, commissions and payroll. Both include 3 team members per location, then $10 a month each. The 14-day free trial includes every Pro feature. A card is needed to start, but nothing is charged until the trial ends, when the plan is charged unless you cancel first. There is also a Free plan: 1 location, 1 team member and 50 check-ins a month, and no card needed.
