# Know every client before they sit down

Every client who checks in with a phone number gets a profile on their own. Look anyone up by phone number and see their visits, notes and preferences, so the next visit starts where the last one left off.

- Built from check-ins
- Found by phone number
- Private team notes
- Reliability on every profile

## A profile that builds itself

Nobody types a client in. A profile is made when someone checks in with a phone number, and every later visit is matched to it by that number.

- **Created at check-in.**Unless the client asks not to be kept, their details are saved. Add one by hand any time.
- **Full visit history.**Date, service, team member and outcome for every visit.
- **Search three ways.**By name, phone number or email, from the Clients page.
- **Bring your list with you.**Import clients from another system. Imported clients only get marketing email after they check in and agree.

**Marcus J.**(555) 010-0178 · 12 visitsReliable

**Chris P.**(555) 010-0119 · 4 visitsMixed

Search by name, phone, or email

Example: the Clients page.

## Notes your team can use

Leave a note once and the next team member sees it. Customers never see them.

- **Private staff notes.**Allergies, preferences, how they like to be greeted.
- **Formula or service notes.**The color formula, the clipper guard, the engine oil: the right person is always prepared.
- **Photo, birthday and tags.**Tags such as “VIP” group clients for an email campaign.
- **Your trade’s fields.**Pet name and breed, vehicle details or device details, depending on your type of business.

**Formula**6N + 7.1, 20 vol, 35 min

**Visits**About every 5 weeks

Private: customers never see notes

Example: notes on a client profile.

## Who shows up, and who has not been back

Each profile is marked from the client’s own visits, and a few reports turn those marks into a short list.

- **Reliable, Mixed or Often misses.**Worked out from completed visits against no-shows and cancellations.
- **A no-show report.**Ranks who misses most, so you can ask for a deposit or a card on file.
- **Retention.**How often clients come, and who has not been back.
- **Email only with consent.**The next campaign goes to the ones on that list who agreed to your emails.

## How it works

- 1

### Customers check in

With a phone number, on their phone, the door tablet or the Staff Screen.

- 2

### The profile fills in

Every visit is matched to the same record, with its service, team member and outcome.

- 3

### Add what you know

Notes, formula notes, tags and a photo, once, for everyone on the team.

- 4

### Look them up next time

A phone number pulls up the history before they sit down.

## Who it’s for

-

### Barbershop

The cut, the guard and who did it last time, ready when a regular walks in.

-

### Pet grooming

The pet’s name, breed and coat notes live on the owner’s profile.

-

### Salon

The color formula is on the profile, so any stylist can pick it up.

## The small things

-

### Find a visit’s client

A walk-in who skipped the phone number can be linked to their profile from the Staff Screen.

-

### Merge duplicates

Combine two profiles into one, with everything on both.

-

### Your clients stay yours

No marketplace. Customers can ask not to be kept, and the owner can delete a client’s details.

-

### Tags

Group clients, such as “VIP” or “color client”, and target them in email campaigns.

## Questions

Which plans have client profiles?

Can customers see the notes?

No. Staff notes are private to your team.

Can a client ask to be removed?

Yes. They can tick “Don’t keep my details” when they check in, and the owner can delete a client from their profile.
