# A tattoo shop policy for clients under 18

The hardest moment at a front desk is a sixteen-year-old with a drawing, a parent who is nervous, and a line behind them. A policy decided in advance makes that moment short and kind. Here is how to choose one, what to write down and how long to hold the sensitive parts.

## The short answer

Choose one of three policies for clients under 18 and put it on the wall and the booking page: you do not serve them, you serve them only with a guardian’s signed consent and ID, or the question does not apply to your work. Then ask for a date of birth up front, so nobody finds out in the chair. Keep the ID photos only as long as you need them.

Rules for tattooing minors differ widely by state and by what is being done. Many places do not allow it at all, and others require a parent in the room. Check your state’s tattoo and health authority before you choose, because your policy can be stricter than the law but never looser.

## Why a policy beats a judgment call

At the counter, a decision made on the spot feels like a verdict on a family. A policy turns it into a fact. The person is not being refused by you. This is how the shop works for everyone. That sentence keeps the conversation friendly, and it keeps your artists out of the awkward position of guessing an age.

It also protects the work. A consent given in a rush, with no record, is the kind that causes trouble later. A signed record made before the visit, with the wording shown and the time written, is the kind that does not.

Finally, a policy saves chair time. The worst version of this problem is a walk-in who has waited an hour and is then turned away. Asking the question when someone joins the line moves the disappointment to the start.

## Three policies and what each one means

Not served is the simplest and the safest. The shop does not tattoo anyone under 18, the join form asks for a date of birth, and a minor is told politely and early. Guardian consent required means a parent or legal guardian takes part: they add photos of their own ID and the minor’s ID or proof of age, and sign a record. The third, off, is for trades where it does not apply, such as a restaurant or a repair shop.

Whichever you choose, say it in one sentence on your website and on the join page. People respect a policy they can read before they arrive.

## Hold sensitive records for less time

An ID photo is a sensitive file. The longer you keep it, the longer you have to protect it. A short keep time gives you enough to show the visit was handled, and then it is gone. The calculator below shows how the number of ID photos on file grows with the keep time.

Pick a number you could explain to a guardian: seven days after the visit is easy to say out loud. If you need longer for your own reasons, pick it on purpose, not by default.

How many ID photos you hold at one time

Enter how many clients under 18 you see a week and how many days you keep their ID photos. The chart shows how the number on file moves with the keep time.

Example arithmetic at the weekly number you entered, with two photos in each set (the guardian’s ID and the minor’s). It assumes steady visits.

Every photo you keep is a file you have to protect. Keep what you need to show the visit was handled, and no longer.

## What a good consent record holds

A guardian should be a parent or a court-appointed legal guardian, and nobody else. The record should show who signed, when, and exactly what wording they saw. It should state, in plain sentences, that they understand the work and agree to it. It should be in a language they read.

The table lists what to collect and what to leave out. The shorter the list, the less you hold.

What to collect for a guardian consent, and what to leave out

Copies kept after the keep timeNoFewer files to protect

Guardian’s photo IDYesShows who is signing

Guardian’s typed name and timeYesMakes the signature a record

Minor’s ID or proof of ageYesShows who the work is for

The minor’s date of birth in the signed copyNoIt is not needed afterwards

The wording they sawYesShows what they agreed to

A general checklist, not legal advice. Laws about minors and tattoos differ by state.

## At the counter on the day

On the day, one person checks that the guardian is there and the IDs match what was uploaded, and writes that down. If something is off, the answer is a calm no, with the reason recorded. The chair does not start until the check is done.

It sounds strict because it is. The point is that nobody has to remember to be strict on a Saturday afternoon. The system holds the line.

Example mockup: the tag on the staff row and the check before the chair.

## How NextUp Walk-in handles it

Each location has a Clients under 18 setting that only the owner can change, and each change is logged. The choices are Not served (the default for tattoo studios), Guardian consent required, or Off, along with how long IDs and the date of birth are kept: seven days by default, up to one year.

The join form, the door tablet and the booking form ask for a date of birth when the policy is not Off. An adult’s is checked and dropped. Under 18 on Not served gets a polite refusal. On Guardian consent the visit is marked and the guardian adds photos of their ID and the minor’s ID or proof of age, ticks each of thirteen statements and signs by typing their name. The signed copy is filed under the client as a form submission, with the wording they saw, the time and no date of birth.

Staff see a tag, “Minor, guardian consent on file”, on the row and the calendar. Starting the visit is refused until staff confirm the guardian is here and the IDs were checked, or type a reason, and that is logged. ID photos and the date of birth are deleted after the keep time. The wording is in seven languages, with English the one that controls.

## Questions

### Which policy should a tattoo shop choose?

Many choose not to serve anyone under 18. Where state rules allow it with a guardian, choose guardian consent. Check your state’s rules first.

### How long are ID photos kept?

Seven days after the visit by default, and the owner can choose up to a year. They are deleted after that.

### Who can sign as a guardian?

A parent or a court-appointed legal guardian only.

### Does this apply to other trades?

Yes. For other trades the setting starts Off, and the owner can turn it on per location.
